Uploading Files

How to upload files

Depending on your role, you can either only upload files in your own folder, in a selected set of folders, or anywhere. The process is the same in any case. You can tell where you are allowed to add items - only in those places will you see the editing tabes and the "add new item" menu.

For this example, we'll go to "my folder". Click on the "my folder" link in the navigation bar.

You should see something that looks like the next picture. By clicking on the "add new item" link in the editing tab area you'll see the drop down menu that's shown here.

Make sure to select "file" unless you are adding an image such as a .GIF or .PNG file, in which case "image" might be more appropriate. The difference is that "file" items are meant to be downloaded and "image" items are meant to be viewed in-place. All of the pictures you see on this page were uploaded as "image".

When you select "file", the next thing you will see is a form with 3 elements you should fill in. **IMPORTANT:** Whatever you put into the **Title** field is what the file will be called when it is downloaded. The file type of the downloaded file will also be set based on the extension you put into the **Title** field. Thus foo.doc will download as a Word file and foo.ppt will download as a powerpoint file. You can also fill in the **Description** field, but this is optional.

Filenames may contain spaces or other special characters.

Here is a sample form:

After you have filled in the **Title**, the **Description** with something useful, and have selected a **File** by either typing in the location on your system or using the **Browse** button, you can hit **Save**.

Note: If you hit **Cancel** at this point, that's ok. But you have some cleaning up to do. See the "Recovering from Mistakes and Cleaning Up" help document.

Now that you've saved your file, you'll see this. Notice that in the editing tab bar it says "state: visible". That means that people can find this file, but it's not advertised anywhere. It will not appear in any navigation listings. The next thing you need to do is submit it for review. (Unless you are a manager - see the Philosophy help document for a quick explanation of this in "roles").

The state goes from visible to pending:

After it's submitted, a reviewer will be notified the next time she logs in.  Assuming all goes well and the reviewer approves of your file, she will publish it. Then your file will appear in the "recent items" list.
